“My course has been returned for more information and I can’t edit it to resubmit.” 

To edit your course, first change the course status from Requires More Information to Draft. This will activate the edit icon. Once you have made the necessary updates, please change the course status back to Submitted/Pending Approval so that your course returns to the review queue. Only courses which are in the review queue will be reviewed by AIA CES staff. 

 

“My course has been returned for more information. Can I just respond to the review questions or to AIA CES directly by email?” 

All edits and responses to requests for more information for the course must be made in the course information page in the CES Dashboard provider interface. While providers can email the reviewer directly for more information or guidance, AIA CES staff cannot review course information which is not included in the course information itself. They also cannot review notes/comments, as those are not directly part of the course information.   

 

“Why isn’t my course approved yet?” 

All courses take approximately 10 business days for review as outlined in the AIA CES Standards. 

 

“My course has been approved, but I need to edit the course title/credit type/course number/LOs.” 

Providers cannot edit a course once it is approved. AIA CES staff will consider minor edits if the course has been approved for 6 weeks or less, the edits do not alter the intent of the course information, and member attendance has not yet been submitted. If the edit is approved, AIA CES can make that change for the provider. 

 

“I’m trying to add attendance to the course, but Dashboard won’t allow me to do so.” 

Prior to submitting either individual or bulk attendance, the course must be approved. In addition, the provider must go into the course information page in CES Dashboard and create the session before they submit the attendance. Once the session is created, attendance can be submitted. 


“I reported attendance for a member, but I keep getting a red exclamation point after their attendance submittal.” 

The red exclamation point means that the member's attendance had previously been reported for this course. AIA member attendance follows the course number, and members can only take an AIA CES approved course once during the 3-year life of that education. Once their attendance has been reported for that course, no further instances of their attendance can be reported for that course.  

 

“I want to advertise a course which has been submitted to Dashboard but is not yet approved.” 

Per Standard S14-03 "Stating AIA credit and approval" of the AIA CES Standards, AIA CES education providers can advertise a course as "Submitted to AIA CES for approval" or “Pending AIA CES approval” once the education has been submitted through CES Dashboard. However, course credit type and amount cannot be advertised until the course is actually approved by AIA CES.
