How to Download a Report from the Chapter Portal

The majority of the fields on the Chapter Portal reports constitute Personally Identifiable Information (PII) for our membership. PII is confidential information and should only be shared with leadership and staff who have a business need to know the specific information in a report. Please edit reports and remove the columns of data that are not needed for a business purpose before you share any data file.  NEVER share a data file with someone outside of component staff or leadership.

 

The Chapter Portal offers two ways to download a report for Membership and some Finance reports - Formatted Report and Details Only. Both views will download the data you see in the screen but are displayed differently and are set up to display differently.

Step-by-step guide

From the report results tab, follow these steps to export using the Details Only format:

  1. Select the report you want to download from the list of available reports.

  2. Once parameter is added (if needed), the report will open in a new tab.

  3. Select Export from top right corner of page.

  4. A popup will display with export options (see first screenshot). Choose the format of the report as you need it downloaded.

    • The default export option is "Formatted Report" (more details about the report type are below).

    • The "Details Only" export option will not include the detailed parameters of the report or move the results to start in Column B. Results in the exported file will start in Column A, Row 1. See below for more details.

      • Excel Format .xls (default);

      • Excel Format .xlsx (latest version of Excel);

      • Comma Delimited .csv (no extra code seen in Excel file. Typically used when needing to upload data to third party site like emarketing application).

  5. Select Export.

Once exported to your Downloads folder, you may open and edit results as needed.

Formatted Report:
The Formatted Report view is default setting for Exporting reports. The formatting on the report includes a blank Column A as a buffer when printing and ensures other columns are not cut off on the right hand side of the page when printing. The format moves results to Column B to ensure data is not cut off during the print process. Columns B & C are merged to make sure the user can read the full data in the first column of the report. The report also displays header information in the top rows which includes the title of the report, the date and time a report was generated and the parameters used in the report to determine results.

Details Only:
The Details Only view Export View allows the user to export the report results in a format they need to be able to process and review results outside of the Chapter Portal. The Details Only view allows users to download in Excel .xls format (default), Excel .xlsx format (current version of Excel) or Comma Delimited .csv format (basic Excel view with no extra html code). Exporting in one of these formats will allow you to open and start editing right away without having to remove columns and rows or unmerge columns like you may have to do when exporting from the Formatted Report view.
