How to Find New and Reinstating Members

The majority of the fields on the Join/Re-join report constitute Personally Identifiable Information (PII) for our membership.  PII is confidential information and should only be shared with leadership and staff that have a business need to know the specific information in a report.  Please edit reports and remove the columns of data that are not needed for a business purpose before you share any data file.  NEVER share a data file with someone outside of component staff or leadership.

The Join/Re-join report is a list of all Contacts of your Chapter who have not been members during the previous membership year. The report uses multiple levels of filters to find the members and is adjusted yearly to look for the members who have joined during the 15 for 12 promotion or after January 1st of the current membership year.

Step-by-step guide to run the Join/Re-join report to find your Chapter’s new and reinstating members for the active membership year.

  1. Login to the Chapter Portal.

  2. From Portal Commons page, select My Chapters tab.

  3. Select the Community Group from the list to be directed to the Membership tab.

  4. Select the Join/Re-join report (screenshot below).

  5. Select the date range you want to see and select “Go to Report”.

    1. NOTE: The “From” date field will show the date the current membership year’s prices were effective. Users cannot enter a date earlier than the date in the From field.

      In the screenshot below, the 2026 prices were available to new and reinstating members on September 16, 2025. If a user tries to use a date before September 16, 2025, they will see an error message.

  6. The results list will open in a new tab.

  7. Download the file using the Export button.

  8. Use this list to send a personalized welcome message by phone or email​.

NOTE: if you need a list of members who joined or reinstated for the previous year, you may reach out to your Component Engagement POC for assistance.
