How do I remove transferred members from my newsletter list​​?

AIA Members may transfer chapters throughout the year. Chapters will need to remove the members who have transferred off of the lists they keep outside of the Chapter Portal. The steps below detail how to use the Transfer Out report to find the members who have transferred to another chapter and need to be removed from your lists.

 

Data privacy

The majority of the fields on the Transfer Out report constitute Personally Identifiable Information (PII) for our membership. PII is confidential information and should only be shared with leadership and staff that have a business need to know the specific information in a report. Please edit reports and remove the columns of data that are not needed for a business purpose before you share any data file. NEVER share a data file with someone outside of component staff or leadership.

Step-by-step guide

  1. Login to the Chapter Portal and select the chapter you want to access.

  2. You will be taken to the Membership tab (the default tab for a Chapter's Portal page).

  3. Select the Transfers Out report.

  4. Enter the From and To dates you want to retrieve​ and select Go To Report.

    1. NOTE: the default values are the last 30 days for this report.

  5. A new tab will open with the results.

  6. Select the Export button and complete the steps to download the report in the format you need.

  7. Open the file in Excel.

  8. Use this list to remove members from your newsletter lists (or any other list you keep of members outside of the Chapter Portal).

Report columns

The Transfer Out report has more than 20 columns of information. The report includes the previous and new membership subscriptions as well as contact and membership information.
