How to Export a Report from the Chapter Portal

The majority of the fields on the Chapter Portal reports constitute Personally Identifiable Information (PII) for our membership. PII is confidential information and should only be shared with leadership and staff who have a business need to know the specific information in a report. Please edit reports and remove the columns of data that are not needed for a business purpose before you share any data file. NEVER share a data file with someone outside of component staff or leadership.
Most of the reports on the Chapter Portal are set up to open in a new tab so a user can view the results before downloading. To export the results list to an Excel or Comma Delimited file type, follow these steps.
- Select the report you want to download from the list of available reports.
- Once parameter is added (if needed), the report will open in a new tab.
- Use the "Export" button on the top right of the screen to start process of preparing for download.
- A popup will display with export options (see first screenshot).
- The default export option is "Formatted Report". Using this option will format the Excel file to allow for a buffer area on the left side of the results to prevent a printer from cutting off information in the first column. It will also add all the parameters used to find the report results in the top 10-15(or so) rows of the Excel file.
- The "Details Only" export option will not include the detailed parameters of the report or move the results to start in Column B. Results in the exported file will start in Column A, Row 1.
- Typically, the "Details Only" export option will give the user more flexibility in formatting the file (see second screenshot).
- The default is the original Excel Format .xls with several options for Encoding results.
- The next option in the dropdown is the newest Excel Format of .xlsx. This version will make sure all columns in the results are extended so you can read the full value of the cells.
- The final option in the dropdown is the Comma Delimited .csv format. This version strips out the Microsoft code and is useful when exporting the list to upload in third-party sites like eMarketing applications.
- Once the format is selected, select "Export" button to download the file.
Once you have downloaded the file, you will have the power to filter and sort the results as you need them for your component's reporting needs.
