When will I get access to Fonteva?

All component staff should now have read access to the Chapter portalNew Component staff will need to sign the User Agreement and attend training to obtain access to Fonteva. Step-by-step instructions are available on the Training page.

How do I access Fonteva?

Go to https://chapter.aia.org and login using the same credentials you use for Component Connect. If you get an error, try to reset your password using the “forgot password” on the login screen, or email us at digitalsupport@aia.org the error message and steps you were taking to access the Chapter Portal site.

You will also find a step-by-step on the Fonteva wiki page: How do I access my chapter portal?

How will I edit member data?

Right now, Fonteva will be the “source-of-truth” only for chapter assignment and the active member flag.  All other member information will still be coming out of NetForum and only synced with Fonteva nightly.  This means that you don’t have edit abilities in Fonteva because all the data to edit will still be coming from NetForum—if you need to change member information you will still do it in NetForum. Later this year, we will add a profile page for members to edit their own information. When we launch this portal, then Fonteva will become the source-of-truth for a lot of other member data, and you will have edit abilities to some member data via your chapter portal. We’ll let you know in advance when these changes are happening. The chart below will show you what will change. At this time, some fields on a Contact record are editable by Component staff through the Chapter Portal. If you are unable to edit a field on a Contact record which needs to be changed, you can email MemberServices@aia.org for assistance. If you receive an error message after editing a Contact record, send the error message and steps you were taking to edit the record to DigitalSupport@aia.org.

What reports can I access?

At launch we are focusing on the member roster, renewing members, non-renewed members, and ACH detail reports. As Fonteva becomes the source-of-truth for other things like Knowledge Communities, etc., then we’ll add more reports to your chapter portal. Remember that only RENEW is coming through Fonteva right now, you’ll still need to get ACH reports from NetForum for your Join and Reinstating dues information.A large number of reports are available on the Chapter Portal site. All reports export to Excel so you have flexibility in viewing results after exporting by creating pivot tables or sorting by specific columns.

You will also find a full report list on the Fonteva wiki page: What reports are available for components

What if I need help?

There is a support wiki available at www.aia.org/fonteva that has recordings of all the training to date.

We will also have office-hours every day from 2p-4p ET so that if you have questions, you can go to a virtual meeting room and a Product Success team member will be able to answer your questions and give you one-on-one help.

Why are my membership numbers are different in Fonteva than my NetForum report?

Most chapters should not see a difference in their member counts between NF and Fonteva; however, if you do there are 2 possible reasons.

  1. Data differences between the two systems
  2. Newly joined members

There are some slight data irregularities that we are correcting as we produce the registries for invoices. During the data registry comparison, we make sure that:

  • All members assigned to the correct chapter in Netforum are also assigned to your chapter in Fonteva
  • All members have the correct membership product (i.e., the correct member type)
  • All members are charged the correct renewal price. We are matching with more than 97% accuracy to the price that would be charged in Netforum. Those 2% who have not matched exactly are receiving a renewal price based on the more accurate member data (e.g., graduation date or licensure date) instead of a previously purchased product.

If you have not signed off on your registry then we may not have finished this data comparision yet.

Finally, the Join process is still done in Netforum, not Fonteva. New members who have joined in the last 60 days are not reflected in Fonteva (yet!). We are completing a sync process for new member data and that will bring those new members into agreement.
