    Using the global search box — To navigate Fonteva by using the global search box:
    1. The global search box is located at the top center section on every page.  It is a quick and easy way to navigate Fonteva.
    2. Clicking inside the global search box will display a list of items that you have recently visited. You can quickly go back to them by clicking these links. The list will update with links related to whatever text you enter in the search box.
    3. You can filter your results by using the 'All' field located just to the left of the global search box.  Clicking 'All' will reveal a drop-down list of suggested objects. You can select from the drop-down list or enter an object in this field. Results will generate for only the selected object. 

    4. To remove this filter, select 'All' from the drop-down list.

    Using the App launcher — To navigate Fonteva by using the App Launcher:
    1. The App launcher is located in the upper left side of the screen just under the Fonteva logo.  It is sometimes referred to as the 'waffle'.
    2. Click the App launcher icon.
    3. A search box is displayed.  Start typing the area of Fonteva you want to go to. Example: Contacts
    4. When the item is displayed in the list, click it.

    Using the navigation bar — To navigate Fonteva by using the navigation bar:
    1. The navigation bar is located directly under the search field.  It displays the app currently in use and all of the items included with the app, such as objects. It is displayed everywhere you go in Fonteva.
    2. You can click the drop-down arrow to the right of any item in the navigation bar to access shortcuts.
    3. You can also click directly on the navigation bar item name to access that are of Fonteva.

    How to customize the navigation bar

    Step-by-step guide

    1. Click the pencil icon that is located to the far right of the navigation bar.
    2. Click the 'Add More Items' button.
    3. Click the 'All' link on the left side of the 'Add Items' screen.
    4. Click the green plus icon next to the item you want to add to the navigation bar.
    5. Click the 'Add Nav Item' button in the lower right-hand corner of the screen to save.

    Creating a new account — To add an account:
    1. From the Home screen, click on the Accounts tab or Launch Accounts from the App Launcher.

           2. On the Accounts screen, click New to add an account record.

        This will open a pop-up window for adding the details of the account.

       

           3. Complete all relevant sections.  Note: the asterisk ("*") indicates required fields, (i.e. Account Name).

                a.  Please be sure to include a Billing Address.  If needed, a different address for Shipping can also be added.

                b.  If the Billing and Shipping addresses are the same, add them to both sections

                c.  Make a selection for the Account Primary Address Type is displaying

           4. Once complete, click Save.***


    ***IMPORTANT NOTE

    Before saving confrim that the Account Primary Address Type is defaulted to "Billing."

    If no selection is made, before to select using the drop down and select "Billing" or "Shipping"  








    To add an account while creating a contact record:

    Click on New Account in the Account Name drop-down, and follow steps 3 and 4 above.

    Creating a contact

    PLEASE NOTE:

    IN THE INTERIM, CONTACTS THAT REQUIRE AIA.ORG LOGINS WILL ALSO HAVE TO BE CREATED IN NETFORUM AS A TEMPORARY WORKAROUND.

    ONCE THE CONTACT IS CREATED IN FONTEVA AND IN NETFORUM, THEY WILL HAVE TO BE LINKED IN THE FONTEVA CONTACT.

    PLEASE REFERENCE HERE HOW TO CREATE CONTACTS IN THE INTERIM.


    To create a new contact:

    1. From the Home Screen, click on the Contacts tab or launch Contacts from the App Launcher.

           2. On the Contacts screen, click New to add a contact record.  

    This will open a pop-up window for adding the details of the contact.

        

           3. Complete all relevant sections.  Note: the asterisk ("*") indicates required fields (i.e. Last Name).

           4. Once complete, click Save.

    How to update accounts — Follow the steps below to update an existing account record in Fonteva.


    1. Follow steps on the Find and view accounts page.
    2. On the account page, note the pencil icon to the right of editable fields.
    3. Click the pencil icon and the available fields for editing will be displayed.
    4. Make update and click the 'Save' button at the bottom of the screen.

    Find and view accounts

    Accounts

    An Account is equivalent to an organization record in netFORUM.

    1. You can access Accounts via the navigation bar, global search box or the App Launcher. Reference screenshots below.
    2. Click 'Account'.
    3. Navigate to an Account record and click it.
    4. The information available in an Account record will be similar to a Contact record.
    5. More specific information on the Details tab includes:
      1. Account contact.
      2. Account type. Example: Architecture Firm.
      3. Account website.
      4. Flags for headquarter, cornerstone partner, architect lead, multi-discipline.
      5. CES provider number and CES Provider audit flag.
    6. The Related tabs displays the same links available in the Contact record

    Contacts

    A Contact is equivalent to a member/customer record in netFORUM.

    Note:

    • Depending on your permissions in Fonteva, you may or may not see options/links to edit a contact record.  If you have access to make edits, the pencil icon to the far right of an item will be bold when you hover your mouse over it. See this page for instructions on editing a contact record.
    • At the very bottom of a Contact record, you will find information on when the record was created and by whom and when the record was last modified and by whom.

    You can access Contacts via the navigation bar, global search box or the App Launcher. Reference screenshots below

    1. Click 'Contacts'.
    2. Navigate to an individual's contact record and click it.
    3. The Contact page is displayed. At the top of the page, you will see the Account Name associated with the Contact.  Every contact record needs to be associated with an account.
    4. Below the information referenced above, is a Related List Quick Links section.  Quick Links are shortcuts to specific areas of information for the contact record.
    5. Below the Quick Links, you will see a Related and Details tab.
      1. The Details tab displays additional information such as AIA designation, demographics, AIA member flag, licensure information, legacy account numbers, contact information, etc.
      2. The Related tab provides access to addresses, badges, membership orders, receipts, invoices, event registration information, notes, membership history, and firm billing contacts.

    Find and view sales orders — To find and view a sales order:
    1. From the Home screen, click on the Sales Order tab.

    This will direct you to the Sales Orders main page. 

           2. Search for the sales order number in the Search field.  Once you click into the field, search guidelines will appear to assist you with your search.

           3. Enter all or the last four digits of the sales order number to activate the search.

           4. Select the appropriate sales order by clicking on the correct hyperlinked sales order number.

    This will direct you to the details of the sales order.



    To Find a sales order from a contact record:

    1. Click on the Sales Order tab in the Related List Quick Links or under the Related view.

           2. From the list of sales orders, select the appropriate sales order by the hyperlinked sales order number.  

    This will direct you to the details of the sales order.


    To view a pdf of the sales order:

    1. Click on the down arrow in the top right of the sales order screen.

           2. Select View Document from the drop down list.

    This will direct you to the pdf of the sales order (via the browser). 

    From this screen, you can download, print or save the pdf.
